Chat and dashboard

Chat

In the chat, you ask about your company’s figures and documents in plain language and get an analysis in return. You can invite a person into the same conversation, such as your accountant, your CFO or a colleague.

  • AI analyses and answers based on your company’s own information.
  • Bring an expert into the same conversation. They see the question, the answer and the background information within their own permissions.
  • External experts get their own login and limited permissions. Bringing an expert into a conversation is included in the base price.
  • Choice of language model, and web searches.

How it worksQaicu Core filters the information by permissions and calculates the figures before the language model phrases the answer.

“Especially if you combine it with conversations with a finance professional, that combination is pretty good.”

Ossi Merisalo, CEO, NBO

Ask questions or make requests like

  • Why did our margin fall in May?
  • Which costs have increased the most?

Dashboard and AI widgets

The dashboard is each user’s own view. You give its widgets a task in plain language, and each widget updates itself.

  • AI widgets, such as a profit and loss analysis every morning.
  • KPIs, charts and current highlights.
  • Applications as widgets of their own, such as the Procountor interface or time tracking.

How it worksThe widget’s figures come from Qaicu Core, and the language model writes an analysis based on them. The view works on your phone too.

“One widget does a profit and loss analysis once a day. Another one is busy analysing our competitors all the time.”

Juhamatti Hyyppä, CEO, Qaicu

Example widget tasks

  • Analyse the profit and loss every morning.
  • Follow competitor news and summarise the changes once a week.

Reporting and budgeting

Management reporting

Management reports and written analyses draw on the information sources connected to Qaicu: finance, purchasing, sales, HR and production. What you can report on depends on which systems you have connected.

  • Finance: accounting records, sales and purchase invoices, and your own KPIs.
  • Purchasing and sales: invoices, orders and deals in the sales pipeline.
  • HR: payslips, hours and shifts.
  • Production and projects: project progress, actual hours and invoicing.
  • Ready-made templates for monthly and management team reporting, and comparisons with earlier periods.
  • Group reporting (Enterprise): the group profit and loss and balance sheet from each company’s accounts. Includes elimination of intra-group sales, purchases, receivables and payables.

How it worksQaicu Core calculates the KPIs and group eliminations with agreed calculation rules before the language model sees the figures. The Finance agent puts the figures into words and highlights what has changed.

“When someone on the management team calls and needs figures, I just go and prompt for the information and bam, I’ve got a really comprehensive report to pass on.”

Samu Keränen, COO, Happy Work

At Happy Work, Samu estimates that reporting in Qaicu saves around 30 hours a month.

Read Happy Work’s story

“I’ve got these ready-made templates I’ve built myself, so I can throw them into Qaicu and say, update this with the information for the month we’re reporting on.”

Laura Matikainen, Service Manager, Relion

Relion does group and financial reporting in Qaicu for its larger clients.

Ask questions or make requests like

  • Prepare the September report for the management team.
  • Which customers are the most profitable?
  • What is the group’s EBITDA after eliminations?

Budgeting and forecasting

The budget and the actuals from your accounts sit in the same information base. You see a variance straight away, and the rolling forecast updates as the actuals come in.

  • Budgets by cost centre and by project.
  • Budget versus actuals.
  • Rolling cash flow and profit forecasts with scenarios.

How it worksCore links accounting transactions to the budget and calculates the variances and the forecast for each scenario. The AI explains what is behind a variance.

“It took maybe ten minutes, working out the percentages myself and putting them in. If I’d first fetched the figures from somewhere and put them into Excel, it would probably have taken an hour at least.”

Arto Saksola, CEO, Trimedia

Trimedia used Qaicu to work out the savings for a quieter period, based on percentage assumptions.

Read Trimedia’s story

Ask questions or make requests like

  • Which cost centres are running over budget?
  • What does the year’s result look like if sales come in ten per cent below budget?

Included in Qaicu Enterprise.

Strategy, processes, tasks and workflows

Strategy and goal management

Your strategy, values and OKRs sit in the same place as the figures used to track them. The AI also draws on them as background information.

  • Turn strategy into objectives, key results and tasks.
  • Key results as your scorecard.
  • Your company’s background, goals and concepts as context for the AI.

How it worksQaicu interprets the figures against your company’s goals. Management reviews and approves the direction.

Ask questions or make requests like

  • How are we progressing on this quarter’s key results?
  • Which tasks support our growth target?

Process mapping

When you map your company’s processes in Qaicu, they sit in the same place as your goals and tasks. The mapped processes also give the AI background information.

  • Process mapping and maintenance.
  • Tracking recurring processes.
  • Processes as context for the AI.

Task management

Turn a finding into a task in the same place where it came up. The task has an owner and links to the goal it moves forward.

  • Kanban board and timeline.
  • Tasks linked to objectives and key results.
  • Tasks straight from a conversation or an analysis.

Workflows and task automation

Set up a recurring analysis or report as a workflow once, and from then on Qaicu does it by itself. The report goes out by email on the agreed day, and you get an alert when something is out of line.

  • Scheduled recurring analyses and reports.
  • Alerts on anomalies.
  • Recurring period-end close checks.

How it worksReports draw on the same Core figures as answers in the chat. Monday’s report and Tuesday’s question give the same number.

Example tasks for Qaicu

  • Send the management team the sales and cash position every Monday.
  • Let me know when a customer invoice is more than 30 days overdue.

AI agents

Ready-made agents for experts’ routine work, and your own agents for your own needs.

Finance agent

The Finance agent is a ready-made agent that knows your company’s accounting records. It answers finance questions, carries out analyses and explains the figures in business terms.

  • Answers about accounting records, invoices and KPIs.
  • Analyses and reports on request.
  • Highlights of what has changed in the figures.

How it worksQaicu Core calculates the figures with agreed calculation rules, and the Finance agent interprets the finished result.

Ask questions or make requests like

  • Which purchase invoices are due next week?
  • Create a short-term cash flow forecast.

Legal agent

The Legal agent answers basic legal questions, for instance about terms of employment and legislation. When a matter needs a lawyer, you invite one into the same conversation.

  • Answers about terms of employment and legislation.
  • Your company’s own contracts and guidelines as the basis for answers.
  • A lawyer in the same conversation when needed.

Ask questions or make requests like

  • What notice period do our employment contracts set?

Support agent

The Support agent answers questions about using Qaicu: how to create a widget, invite an expert or connect an integration.

  • Guidance right where the question comes up.
  • Answers about new features from the day they launch.
  • Help during your first weeks with Qaicu.

Building your own agents

You define your own agent in the interface: what it does, what information it uses and who can use it. You can choose and change the language model without rebuilding the agent or the information base.

  • Set the agent’s task, instructions and datasets in the interface.
  • Choice of language model, and web searches.
  • Teach the agent using your company’s own documents.

How it worksEvery agent uses the same Qaicu Core, so the same information and the same permissions apply in each one.

Applications

Applications built on Qaicu’s information base.

Time tracking

Staff record their hours in the same service that holds the rest of your company’s information. The payroll administrator gets the month’s hours by asking.

  • Record hours on your phone too.
  • Get hours for payroll by asking.
  • Time tracking as a widget on your own dashboard.

“Nobody sends anything over. The payroll administrator gets the time entries by asking Qaicu.”

Juhamatti Hyyppä, CEO, Qaicu

Qaicu itself has used time tracking since summer 2026.

Ask questions or make requests like

  • Give me September’s time entries for payroll.

Custom applications

Together with Qaicu, you build a custom application for your company’s own needs. It runs on the same information base as the rest of your company’s information. Qaicu takes care of permissions, the database and making sure the application works for all your staff.

  • An application for your company’s own process.
  • The same information and the same permissions as everywhere else in Qaicu.
  • Also works as a dashboard widget.

Qaicu built its own time tracking the same way.

Included in Qaicu Enterprise.

Integrations, MCP and user management

Integrations

With pre-built integrations, Qaicu brings information from accounting, CRM, project management and HR systems into Qaicu Core automatically.

  • Pre-built integrations include Procountor, Netvisor, Fennoa, Easor, Business Central, Pipedrive and Visma Severa.
  • Integration with document management systems such as SharePoint (Enterprise).
  • An open API for your own systems.

See all integrations

How it worksIntegrations keep the information in Core up to date.

“I don’t have to take the month’s profit and loss or other documents and put them into some AI separately.”

Ossi Merisalo, CEO, NBO

MCP

MCP (Model Context Protocol) gives other AI tools and your own agents access to Qaicu’s information base. Permissions apply through MCP too.

  • Qaicu’s information available in tools such as Claude or ChatGPT.
  • Your own agents and applications on the same information base.
  • Control of external agents.

Included in Enterprise and Qaicu Core.

Files and datasets

You teach Qaicu your company’s own documents: contracts, guidelines, PDFs and Excel files. You can always trace an answer back to its source.

  • Teach Qaicu your documents through the interface.
  • Contracts, invoices and accounting source documents link to one another.

User management

Users get roles and permissions for each dataset. Qaicu Core filters information by permissions before the language model sees it. A salesperson gets no answers about salaries, even when using the same agent as HR.

  • Role-based permissions for each dataset.
  • External experts with limited permissions.
  • Integration with your company’s user management (Enterprise).

How it worksBecause filtering happens before the language model, all your staff can use the same agent.

Partner platform

A dedicated platform for accounting firms to serve their clients.

Partner platform for accounting firms

Accounting firms offer Qaicu to their clients under their own brand. Clients ask Qaicu about their own figures, and the accountant joins the conversation when the client needs an expert.

  • The accounting firm’s logo and colours.
  • Agents and information set up once for all clients.
  • Client questions and the accountant’s answers in the same place.

Explore the partner platform

How it worksEach client’s information stays separate, and an accountant sees the clients they have permission to access.

“You’ve got a conversation partner that can actually see your company’s information.”

Laura Matikainen, Service Manager, Relion

One of Relion’s clients uses Qaicu themselves.

Qaicu Core

Links the information, applies permissions and calculates the figures

Qaicu

The language model understands the question and phrases the answer

Every feature uses the same information base. Qaicu brings information from your systems into Qaicu Core, an AI-optimised data layer. Core links the information, applies permissions and calculates the figures before the language model interprets them.

That is why your reports, budget and dashboard widgets rest on the same figures. The same question gets the same answer, whether the CEO asks in the chat or the report goes out by email on Monday.

FAQs

Do we have to replace our current systems?

No. You keep your current systems, and pre-built integrations bring their information into Qaicu Core.

Who is Qaicu for?

Companies whose information is spread across several systems, and where reports, budgets and hours are compiled by hand. You can read how each role uses Qaicu on our pages for CEOs, CFOs, IT leaders, HR leaders and sales teams. Accounting firms have their own partner platform.

How much does Qaicu cost?

Qaicu Pro starts at €100 per month and Qaicu Enterprise at €350 per month. On top of that, you choose a Credit Pack for AI usage, which costs €20 or €40 per month with Pro. You can try Qaicu for free. You’ll find more details on the pricing page.

Which features are in Pro and which are in Enterprise?

Enterprise includes budgeting, group reporting, custom applications, document management and user management integrations, the MCP server and control of external agents. MCP is part of Qaicu Core too. All other features are in both plans.

Does Qaicu work with Procountor, Netvisor or Fennoa?

Yes. Qaicu has pre-built integrations with systems including Procountor, Netvisor, Fennoa, Easor, Maestro and Microsoft Dynamics 365 Business Central. They bring accounting records, sales and purchase invoices, and partner information into Qaicu Core automatically. You’ll find all integrations on the integrations page.

How is Qaicu different from ChatGPT?

ChatGPT is a general-purpose AI that you give information to by hand. In Qaicu, your company’s information moves from your systems into Qaicu Core. Core filters it by permissions and calculates the figures with defined rules, and the language model interprets the finished result. You can choose the language model, and your company’s information base stays in place even if the model changes.

How do we get started?

You can set up Pro yourself. Connect your accounting system with a pre-built integration and start a trial with your company’s own information. Expert-supported implementation starts with a workshop to choose one to three processes where Qaicu can prove its value first.

Which of our company’s information can the AI see?

The language model only gets the information Core has filtered by the user’s permissions, and it gets the figures already calculated.

Where is our company’s information stored?

Information you share with Qaicu is processed and stored in Europe. It is not used as training data for language models. You can read about the security controls and practices in the Qaicu Trust Center.
